A newsletter can look polished and still contain the wrong link, an outdated offer or a greeting that does not display as intended. A pre-send checklist helps the team check the real message and recipient setup before scheduling.
Use it as a practical quality review. Keep the campaign brief and current offer nearby, and record which version was checked and approved.
Check the audience against the campaign purpose
Confirm the intended list or segment and relevant exclusions. Read the criteria in plain language and check whether the audience matches the brief.
Review the recipient estimate in context. A surprising change may need investigation before scheduling. Do not substitute a wider audience just to restore a familiar number.
If a purchase, enrolment or previous action changes what someone should receive, confirm how the campaign accounts for that.
Verify the facts and offer
Compare the email with the approved source: product or service details, dates, prices, availability and any conditions. Check the destination page as well.
Review claims, testimonials and examples for accuracy and approval. Remove unresolved placeholders. If the offer changes during review, identify which other assets need an update.
Our campaign brief template helps keep those facts in one place.
Open the actual links
Check buttons, images, text links and relevant footer links. Verify the destination and the action someone can take there, rather than only checking that the URL loads.
For a workshop, confirm the correct registration page. For a product campaign, confirm the relevant collection or product. For a guide, confirm that the resource is available to the intended reader.
Record any link that depends on personalisation or a test profile so it receives the appropriate check.
Test personalisation with the right method
Use the platform's supported preview process for contact-specific fields and dynamic content. A generic test email may not establish how those fields behave for a recipient.
Mailchimp's testing guide, for example, explains that contact-specific merge tags and dynamic content do not work in ordinary test emails and recommends recipient-aware preview options.
Check a representative profile and a case where the relevant field is missing. The message should still make sense with the approved fallback.
Review the mobile experience
Read the subject, preview text and first screen together. Can the reader understand the message and identify the main next step?
Check text size, image loading, spacing and button visibility. Read the message with images unavailable where practical. Avoid placing essential information only inside an image.
Check spelling and formatting in the final proof, including the sender identity and reply route.
Confirm the required account and footer setup
Review the platform's current checks for sender details, footer information and subscription controls. Confirm that the message uses the business's approved setup.
If the campaign raises a question about consent or required information, resolve it with the responsible person before sending. A design review does not establish that the audience or account configuration is suitable.
Approve the final version and verify the schedule
Make the approval specific to the final proof and audience setup. Record who approved it and where that decision is stored.
After scheduling, read back the date, time zone, campaign and recipient setup. Mark the work scheduled only when the platform shows that state. If a material change is made afterwards, identify which checks and approvals need repeating.
