Virtual Assistant Weekly Report Template: See Progress Without Reading Every Task

A weekly report should help you understand what changed and what needs your attention. A long list of activities can make that harder if you still have to ask whether the work was approved, scheduled or finished.

Give your VA a reporting format that connects their work to a clear result. Keep the detailed task history in the project system and use the report to highlight the outcomes and decisions that matter.

Agree the reporting period and source

Use a consistent date range and link to the relevant project board or records. Decide when the update is prepared and when the owner reviews it.

Keep private information in the appropriate source system rather than copying it unnecessarily into a broad report. If several people receive the update, check that the content and links suit their access.

A three-part weekly report template

Completed and verified

List the completed outcomes, with a link or brief evidence. State the actual final condition: for example, approved content scheduled for a confirmed date, or an updated record checked in the CRM.

In progress and blocked

List work that remains, its current stage, the next action and the person responsible. If an item is blocked, explain the missing input and its effect on timing.

Decisions and next commitments

Give the owner clear decision requests and the date they are needed. Then list the main commitments for the next period, including any dependency.

Add hours or capacity where they are relevant to your working agreement. Keep recorded time separate from an unsupported claim about productivity.

An illustrative weekly update

Completed: The approved newsletter is scheduled for the agreed date. The final proof and scheduling record are linked in the campaign task. The enquiry tracker has been updated and checked for missing owners.

In progress: The workshop page draft is ready for review. The reminder email is waiting for the confirmed session time. If that time is not approved by Tuesday, the planned scheduling date needs another decision.

Owner decision: Please confirm the workshop time and approve the page draft. Once those are confirmed, the VA can update the reminder and prepare the final proof.

Next commitments: Complete the workshop communication checks and prepare the monthly resource update.

This example describes a reporting format. It is not a real client update or a claim about work VAmazing completed.

Use status words consistently

Define the stages the team uses. Draft, awaiting approval, approved, scheduled and completed describe different states. A percentage such as “90% done” can hide the one decision that prevents delivery.

Prefer the current state and next action. “Ready for approval; waiting for the owner to confirm the offer” is easier to act on than “almost finished”.

Our approval-process guide can help make those responsibilities explicit.

Keep decision requests answerable

Include the context, available options and effect of waiting. Where the VA has enough evidence, they can provide a recommendation.

Agree a route for urgent issues that cannot wait for the weekly report. Do not allow the routine report to become the only place an important deadline problem is raised.

Connect the report with the working system

The update should point to current records, not become a second task list that drifts out of date. After the owner makes a decision, record the action where the work is managed.

Use the report as preparation for a weekly operations review when a discussion is needed. When the decisions are straightforward, a written response may be enough.

Refine the format around useful decisions

After a few updates, review which sections helped and which repeated information nobody used. Keep the report short enough to read, with the details available through links.

A strategic VA makes the work easier to assess by reporting what is complete, what remains and what the owner needs to decide. Talk to VAmazing if you want clearer coordination and progress reporting around your business operations.
