A new member joins your program and opens a library of resources. There is plenty of value available, but they are not sure where to start or how to ask a question.
Membership onboarding should connect the promise on the sales page with a manageable first experience. The practical work includes access, orientation, communication and support. A VA can coordinate those steps while you lead the program and approve the member experience.
Check the journey before adding more content
Use the platform's supported test approach to review what a new member sees after joining. Check the confirmation, access invitation, login, landing page and available resources.
Document each expected result and actual result. Test from the appropriate member view, rather than assuming the administrator's view proves access works.
Also review how the welcome message describes the membership. The inclusions, access timing and support arrangements should match the approved offer.
Give the member one clear starting point
Create a short “start here” route. Explain where to find the essential information, how to choose a relevant resource and what to do first.
An illustrative business membership might invite a new member to complete a short orientation and choose one template for their current project. It does not need to require them to watch every recording before using the program.
Make the first action useful to the member's goal. Avoid treating the number of onboarding tasks completed as a substitute for a meaningful experience.
Plan welcome messages around the actual steps
The first message should explain access and the immediate next action. Later messages can introduce support, live events or a useful resource when that information is relevant.
Keep the sequence aligned with what the member can actually access. If a resource becomes available later, the email should not imply it is ready today.
Check the triggering conditions and how returning members are treated. A person upgrading or rejoining may need a different instruction from someone joining for the first time.
Prepare support before the first question arrives
Create approved answers for finding the login, locating a resource, attending a session and contacting the team. Include accurate links and a route for unresolved access issues.
Agree which questions the VA can answer directly and which need the program owner. Requests involving exceptions, refunds or changes to the membership should go to the authorised person.
Use our approval-process guide to document those boundaries. Keep private member information limited to the people who need it for the work.
A practical onboarding checklist
Approved membership inclusions and access timing are recorded.
Joining and access are tested through the supported process.
Welcome message gives a clear first action.
The starting page and essential links work for members.
Upcoming events have confirmed dates and time zones.
Support replies and escalation responsibilities are ready.
Returning-member and upgrade journeys are reviewed.
A person owns the first-month check-in and issue record.
Attach evidence to the important checks, such as the test result or approved message. A tick without context is less useful when another person takes over.
Use a first-month check-in to learn
Ask whether the member can find what they need and whether the first steps are clear. Give them a simple way to raise an access or orientation issue.
Collect repeated questions and use them to improve the welcome process. Keep observations separate from conclusions. A member who has not opened a resource may have a different timetable; it does not automatically establish dissatisfaction.
Review any available activity data in context and avoid making promises about retention based only on an onboarding sequence.
Give the VA an ongoing operating record
Maintain the current resource links, message versions, event dates, support rules and unresolved issues in one organised record.
When the program changes, identify what needs updating across the member area and communication. Use a simple SOP for recurring checks and bring blockers to your operations review.
For a launch that includes course delivery, our course-launch checklist covers the broader preparation.
