Klaviyo Welcome Email Not Sending? A Step-by-Step Diagnostic Checklist

Someone fills in your signup form, sees the success message and waits for the promised welcome email. Nothing arrives. Before rebuilding the flow or switching off settings, trace one test subscriber through the process.

A form submission, a profile, a list membership and an email delivery are different steps. Finding the first step that did not happen is much more useful than changing several things at once. Here is a practical way to investigate a Klaviyo welcome email that is not sending.

Start with a clean test and a simple record

Use a unique email address you control and note the time, form, page URL and expected message. Klaviyo recommends a unique address when testing signup forms. Repeating a test with an existing subscriber can give you a misleading picture.

Create a short test log with these columns: submitted, confirmation received, list joined, flow entered, message queued, message sent and inbox received. Add a screenshot or timestamp at the point where the journey stops. Keep your test separate from real customer records.

Check which list receives the signup

Open the form settings and identify its destination list. Then open the welcome flow trigger and compare the list names. Klaviyo's welcome-series guide explains that the flow should connect to the list new subscribers join.

Do this for every entry point you are testing. Your popup, footer form and third-party landing page may have different connections. A form that looks like the others can still route people somewhere else. Document each entry point so the next campaign does not inherit the same confusion.

Separate the confirmation email from the welcome email

With double opt-in, a subscriber must confirm before joining the relevant list. The confirmation message and your branded welcome message perform different jobs. Klaviyo explains this sequence in its double opt-in documentation.

For your test, check whether the confirmation arrived, click it and then check list membership. Review the signup success copy too. If it promises an instant discount email while the person still needs to confirm, the experience can feel broken even when the system is following its settings.

Do not change the opt-in approach simply to make a test pass. First establish whether the current journey is working as intended and whether your instructions explain it clearly.

Inspect the message status and recipient activity

Look at the actual email step, not only the name of the flow. Klaviyo's list-triggered flow troubleshooting guide distinguishes Draft, Manual and Live messages: Draft does not send, Manual requires review and Live sends automatically when the person qualifies.

Find the test profile in recipient activity. Is it waiting for a time delay, awaiting review, skipped or sent? Those are separate situations. Record the status and any skip reason before deciding on a fix. A person waiting in an intentional delay does not need the same response as a person excluded by a filter.

Review filters against the journey you actually want

Read the conditions in plain language. Who is meant to enter? Who is meant to leave? What should happen if the subscriber purchases before the next message? Compare those decisions with your test profile rather than removing every condition.

For example, an illustrative brand might want new subscribers to receive their promised introduction but stop a later first-purchase reminder after an order. That requires an intentional message plan. A broad exclusion copied from another flow may not reflect that plan.

Keep a note of the original settings and change one relevant condition at a time. This makes the test easier to interpret and gives you a useful change history.

Check whether Smart Sending explains a skip

Smart Sending can limit closely spaced marketing messages. A message skipped for this reason is not automatically rescheduled, according to Klaviyo's Smart Sending guide. Check the actual reason rather than assuming the email will arrive later.

Decide deliberately how your promised welcome message should interact with other marketing. Consider what the subscriber was told, what else they receive and which messages are essential to the experience. Review the wider sequence before changing a setting for one email.

If Klaviyo says sent, investigate delivery separately

A sent record helps locate the next stage of the investigation. Check the destination address, spam or promotions folders and any bounce information available. Preserve the test details so your specialist or support team can investigate the specific message.

A preview email is useful for checking design, but it does not test the complete signup journey. You need both: a visual check and a real end-to-end subscription test.

A useful handover for your VA or email specialist

  • The form name, page and destination list.

  • The welcome flow and exact email step.

  • The controlled test address and timestamps.

  • The first missing stage and recipient status.

  • The original settings and changes already tested.

  • The expected customer experience, including the offer.

This brief replaces “the welcome flow is broken” with an issue someone can work through. For campaign preparation, also use our Black Friday email checklist.

Frequently asked questions

Should I rebuild the welcome flow?

Start with the evidence. If the form points to a different list or the message is awaiting review, rebuilding the whole flow may leave the original cause unresolved.

Can a VA handle the checks?

A trained VA can collect the test evidence, check the agreed setup and document the issue. Changes to consent, targeting or live automation should sit within clear approval boundaries.
